Personalised Gifts at Scale: The Spreadsheet That Saves Every Order

Personalised PU diary with gold trim for corporate gifting

Short answer: Personalising gifts for 200+ people breaks down without a single master spreadsheet — name, department, spelling check, size, delivery location, one row per person. At Meru Gifting, this sheet, shared and locked before production, is what actually prevents the mismatched-name disasters everyone worries about.

Personalisation at scale is a data problem before it's a design problem.

What actually goes wrong with personalised gifts at scale?

Names get swapped between two people with similar-sounding departments. A "Neha" gets engraved for a "Nisha." Someone resigns mid-production and their gift still gets made. I've seen all three happen — not at Meru, because we build in a lock-down step now, but I've heard the stories from clients who tried to run personalisation over email threads and WhatsApp messages before they came to us.

What's the spreadsheet that actually saves the order?

One row per recipient, with columns for full name exactly as it should be engraved, department, size or colour choice if relevant, delivery location, and a final sign-off column. We share this with the client as an editable link, they fill it, and we freeze it 48 hours before production starts. No changes after the freeze — that single rule has prevented more mistakes than any amount of double-checking.

Which products get personalised most often?

Diaries, leather stationery and desk accessories, because a name or initials on leather or metal reads as a genuine keepsake rather than a sticker. The PU Diary with Gold Trim and Magnetic Clasp at ₹450 and the PU Diary with Arrow Buckle Clasp at ₹385 are two of our steadiest personalisation orders, alongside the Lekhan Personalised Leather Stationery Set at ₹2,999 for a leadership tier.

How do we handle a mock-up before 200 pieces go into production?

We engrave or print two or three sample names from the sheet — usually including one with a diacritic or unusual spelling, since that's where errors hide — and send photos for approval before touching the rest of the batch. This adds a day, sometimes two, but it's cheaper than reprinting 200 diaries.

  1. Client shares headcount and product choice.
  2. We send the master spreadsheet template, one row per recipient.
  3. Client fills names, sizes, delivery locations; we lock the sheet 48 hours before production.
  4. Sample mock-up with 2–3 real names from the sheet, sent for sign-off.
  5. Full batch personalised and quality-checked against the locked sheet before packing.

What personalisation checklist do we actually run internally?

Personalisation order checklist

Which personalisation technique suits your product?

Foil stamping or debossing on the PU Diary with Gold Trim at ₹450 — clean, fast, and holds up over daily use.

Laser engraving on metal desk accessories reads as permanent, unlike a printed sticker that peels within months.

The Lekhan Personalised Leather Stationery Set at ₹2,999 takes a full name and initials embossed on both the diary and card holder.

Running a personalised order for your team?

Send us your headcount and we'll share the spreadsheet template we use to keep every name correct.

How do you avoid mistakes when personalising gifts for large teams?

A single locked spreadsheet, one row per recipient, frozen 48 hours before production, plus a sample mock-up with real names before the full batch runs.

What products can be personalised at Meru Gifting?

Diaries, leather stationery, desk accessories and select metal pieces take engraving, foiling or printing well. We'll confirm what's possible for your chosen product.

Is there an extra cost for personalisation?

It depends on the technique and quantity — we quote this alongside the base product price once we know your product choice and headcount.

What's the MOQ for personalised corporate gifts?

50 pieces for a branded, personalised batch, same as our standard branded MOQ.

How long does a personalised bulk order take?

7–15 working days from a frozen name list and approved mock-up, longer if names or sizes keep changing after the freeze.
